Hotel Booking Conditions

We are a travel agent for the hotels available on our website. The discounted rates are only available to us on a prepayment basis.

In order to confirm and secure your reservation, we require payment in full before your arrival. In most instances, you do not need to pay the full amount for your room until 14 days before check in but this varies from hotel to hotel according to the season and individual hotel policies.

The deposit is usually between 10-30% or a one night charge. The remaining balance will be charged later - either 14 days before arrival OR at the due date specified by the hotel. This depends on seasonal policies by the hotels and all these details you will receive in our email response.

Upon confirmation of your booking, you will receive an email outlining your booking details together with a link to your payment options, amount owing and the due date when you are required to pay the remaining balance of your hotel booking. Any cancellations must also be made before the due date in order to avoid any penalty charges from the hotel.

This due date will be advised by email upon confirmation of your booking.

Please note that during certain periods some hotels may require to charge the full amount upfront at the time the booking is made. As an agent for the hotel, we will have to follow their practice but you will be informed after or at the time you make the booking.

In the event that the hotel does not have available rooms we will notify you by e-mail as soon as possible with an alternative hotel within your preferred location and budget.

Your booking is complete upon receipt of full payment. We will then issue a reservation voucher to be presented to the hotel at the time you check in.

Booking procedure

After we receive your booking enquiry, you will receive a detailed offer about availability, total costs and the cancellation policies for the requested period. Given that you entered a valid email address, you will receive an answer within a few hours. However, due to different time zones and weekends, this can be delayed by up to 24-48 hours in some cases. If the room is available and you wish to confirm, you may be asked to secure the booking with a deposit within 3 days. Please note that room availability sometimes change daily, especially during peak seasons.

For pick-up service request, please re-confirm flight details with us before arriving.

Privacy and Security policy

Lost in Thailand uses a secure payment gateway that makes the credit card transaction directly and securely with the bank. We do not see, record or store these card details in any form, simply get approval or decline from the banking institution. The secure booking form and credit card information input form provided by ECOM using Secure technology to ensure that your personal information remains secure and private. This process takes the information you enter and converts it into code that is securely transmitted over the Internet. This scrambled data cannot be read as the information travels directly to our secure server. Remember, we never require you to send credit card details over the Internet.

We, at LostinThailand are very concerned about protecting the privacy of our customers. Any personal data collected from you for securing a reservation with third party vendors such as hotels or tour companies shall not be modified, copied, distributed, transmitted, licensed, sold or redistributed without your express permission. This information is used solely to enhance or fulfill your request or for securing your reservation with hotels or tour companies.

Payment methods

a) Secure online payment by credit card

When your booking has been confirmed we will send you a link to our online payment system. We use a secure online ECOM payment system provided by our bank Siam Commercial. Payment is direct through our bank. The payment system will automatically let you know whether payment is confirmed or declined by email. If you do not receive any communication regarding your payment by email within 24 hours please contact us.

Never send credit card details by email or from unsecured websites!

b) Fax, using our credit card fax form

We can also accept credit card payment by fax. Again we will provide a link to the printable fax payment form which you can print and complete at your end and fax back to the number provided. Once payment has been authorized we will notify you by email.

If your credit card is declined your reservation is not confirmed. We will email requesting alternative payment information and wait for 24 hours for your response. We cannot unfortunately, guarantee the same room availability as this will depend on the destination, hotel and the season.

In the unlikely event of unauthorized use of your credit card, follow the reporting procedures specified by your card provider then contact us immediately. Most credit card companies will cover you for unauthorized usage.

If you would like additional information on the Fair Credit Billing Act, please contact the Bureau of Consumer Protection or visit the Federal Trade Commission's website (www.ftc.gov).

c) Bank transfer

We do accept payment by bank transfer with stricter conditions.

We need to receive full payment a minimum of 14 days before your arrival. Therefore we recommend an early reservation in order to ensure availability. Payment must be received by the due date or the booking cannot be confirmed. International transfers may take anywhere between 3-7 working days excluding weekends and public holidays. For bank transfers we require a one-time prepayment in full equivalent to the value of your booking. Payment should be made in Thai Baht. You are responsible for any bank charges and discrepancies in the amount received. In case of cancellations, the refund amount, if any, will be subject to the cancellation charge of 500 Baht or 5% of the total payment (whichever is greater) plus the actual bank transfer fee. (The refund amount is subject to hotel policy)

Cancellation policy

We do not charge any cancellation fee for rooms that have not been confirmed. However once your room has been confirmed, you are subject to the cancellation policies detailed below.

The cancellation policy below applies to all bookings unless the hotel/tour company booked with has different terms and conditions to those stated below. It is in your best interests to be fully aware of any cancellation policies that apply and fees that you may incur as a result of a cancellation. Any policies dictated by the hotel will always take precedent over the policy stated here. We will naturally inform you clearly and precisely if this is the case with your booking.

If you cancel:

14 Days + before
requested arrival date

There is a 500Baht or 5% administration charge

– whichever is higher

13 - 7 Days before
requested arrival date

There is a 10% administration charge

6 - 3 Days before
requested arrival date

There is a minimum cancellation fee of two nights

2 - 0 Days before
requested arrival date

There is a cancellation fee of your full booking amount.

NB Some hotels have policies that are not the same as the above table and therefore it is in your interest to pay very careful attention to any information we pass on to you about this matter if you think that these policies may apply to your booking. Please request a confirmation of the cancellation policy pertaining to your hotel if it is not supplied with your booking confirmation. Please note we cannot be responsible for any changes to the cancellation policy imposed by the hotel released between the booking confirmation and the time of cancellation.

The above policy does not apply to any bookings made during a hotel’s peak season dates. Cancellation policies are generally much more severe for peak periods particularly in popular beach destinations. During high occupancy period such as Christmas and New Year, the hotel might charge for the whole period for cancellations up to 21 days or longer before arrival. Please request details upon booking.

If you do not arrive at the hotel or fail to advise us of a cancellation prior to your arrival, we reserve the right to charge the full amount of your booking value. Please also note that your cancellation will only be acknowledged and accepted when you receive our confirmation.

Please note: Proof of sending, is not regarded as proof of delivery.

To cancel a booking:

Please let us know by fax or email. All amendments and cancellations must be made in writing, quoting the booking ticket number and the e-mail address you originally used to make your booking. We are sorry but we cannot accept any cancellation requests by phone.

Failure to do so will result in you being subject to the conditions described above so it is imperative that you let us know as early as possible.

We will refund the proceeds of your reservation by bank transfer to your account less any cancellation fees due and less all bank charges incurred.

This will depend on your bank. Generally the process can take anywhere between 10 and 45 days..

Amendments

Amendments involving a change in arrival date will incur a onetime fee of Bt. 250. If the amendment results in a reduction of stay and refund we charge a handling fee equal to Bt. 500 or 5% of the refund value (whichever is higher) subject to hotel cancellation policy (as above).

Extension of stay:

Be sure to make your reservation for the full duration of your stay. If you do need to extend your booking after arrival, you will need to contact our Reservations office as the hotel will not offer you these discount prices (Hotel will charge you full walk-in rates).

Shortening your stay:

We would love to be as flexible as we can regarding this issue. However, as an agent, Lost in Thailand has to abide by the individual hotel policies regarding refunds. Essentially, if the hotel charges you for the nights you cancelled, we do too. If the hotel does not charge you, neither do we and we will refund the amount to you less 5% administration charge or minimum 500baht – whichever is higher. You must cancel the unwanted room nights with us as well as the hotel receptionist or you will not receive your refund if applicable.

No Show (Non-use of reservation):

If, for any reason you don't utilize your reservation and fail to contact us to cancel it, we do not refund any monies pertaining to said booking. The reason for this is that as far as the hotel is concerned the room is booked and they cannot let anyone else occupy it, in case you arrive. Thus the room is held, un-occupied, until they are notified otherwise.
